Red Point Psychology & Coaching is a well-established psychological practice dedicated to supporting individuals from diverse backgrounds. Located south of Wollongong CBD, our vibrant office is nestled near the beach and surrounded by local cafes, offering a welcoming environment.
We are currently seeking a Receptionist/Administrative Assistant to join our team. This role is vital in providing essential administrative support, ensuring the smooth and efficient operation of our practice.
Key Responsibilities:
- Manage confidential and time-sensitive materials with professionalism and care.
- Develop a thorough understanding of Red Point Psychology & Coaching policies and procedures.
- Communicate effectively in person, via phone, and email, ensuring clarity and professionalism in all interactions.
- Complete administrative tasks accurately and in a timely manner, maintaining the highest standards of service.

Duties include:
- Managing overall administration operations of the psychology practice
- Providing administration support to the team, including regular feedback on current processes and practices as well as identifying continuous improvement opportunities
- Responsibility overseeing the management of all referrals and communicate with referrers and other stake holders (e.g. NDIS, Medicare. Support Coordinators)
- Managing bookings, answer/return calls, liaise with other professionals, respond to enquiries, manage invoicing and payments
- Working autonomously and within a team environment, has the ability to adapt quickly to changing workload priorities
- Undertaking accounts payable and receivable duties
- Data entry and data management within the online client management software
- Developing and update administrative systems to make them more efficient by being and active member in the quality improvement process.
Key selection criteria:
- Ability to work within a multi – disciplinary team and with other external stakeholders
- Knowledge of office management systems and procedures
- Knowledge of quality management systems
- Proficient in MS Office Computer MS (word, excel, power point, etc.)
- Knowledge of operation of standard office equipment
- Must be willing to travel when required
- Understanding of challenges that face people with mental illness and disabilities
- Strong multi-tasking and prioritisation skills
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Ability to organize and plan
